Using the Software Request System to Request and Obtain Cal Poly Site-Licensed Software
The Software Request System is an automated process for you to select and obtain software products from an inventory
of over 1,000 titles.
If you have questions about titles or need assistance in installing or using software, please submit a Service Request
by going to the My Cal Poly Portal at http://my.calpoly.edu; logging on, then clicking
on Single Click Access to Service Request and using the drag-down to New Service Request.
1. To submit a new Software Request:
- Go to the My Cal Poly Portal at http://my.calpoly.edu; logon and then click on Single Click Access to Service Request.
- Click on New Software Request.
- You may now request software by providing the publisher name (e.g. Adobe), or part of the title (e.g. InDesign).
If you know any part of the publisher name, type it into the Publisher Name box and click on
the Search icon to the right.
Alternatively, if you know any part of the software title, do NOT type it into the Software Title box but just
click on the Search icon to the right.
The system will now display a separate Search window. Type the partial software title into the Search box and click on Go
- You will now see a window listing all the software titles that match your search criteria.
You will only see titles that have been licensed for use in your particular role at Cal Poly, as Staff, Faculty, Student, Auxiliary Staff or Emeritus.
If you don't see the titles you are expecting, you may use the Search Again box at the top of the screen to search more widely.
Please note that the Search function does not support the use of Wildcards.
If you get a lot of matches, Advanced Search has many options for refining your search.
- If you don't know any part of the publisher name or software title, you can search the entire database of available software:
- To the right of the Publisher Name box, click on
the
Search icon.
- You will now see a separate search window. Leave the input area blank and click on Go.
- The system will list all the available software titles that have been licensed for use in your particular role at Cal Poly.
- When you find the title you want, you may click
the
Edit icon to the left of the title and
a window will show information about that package. It may include a description, technical notes,
the supported roles (Staff, Faculty, Student, etc), the types of computer supported (personal, state owned) and the distribution options.
A limited number of software titles may be shown as available for personal computers. If it is not shown for use on
personal computers, you may NOT install or use it on personally owned computers. It is violation of our licensing agreements.
Software may be available in up to three methods of distribution:
- Burn: the software will be burned onto discs for you to pick up and install.
- Download: you will be able to directly download the software later in this process.
- Loan: under certain licensing agreements, the software discs will be loaned to you and must be returned.
Most titles will be available under only one of the above distribution options.
If you displayed the software details, click Close to close the window.
- Now click the radio button to the left of the software title that you want and click Import/Replace.
The Software Request screen is now populated with more information about the software you want.
- On the Method of Checkout, click the radio button for the option you want. In most cases, burn will
be the only choice.
- Read the licensing agreement at the link shown.
If you agree, click the I accept the terms button and then click on Continue.
If you do not agree, click on Cancel at
the foot of the screen and your request will be terminated.
- The screen will now be expanded and you will see any further licensing and installation information
that is available for that software title. We strongly recommend printing this screen for reference during installation.
If provided for this software title, the links to License File and to Installation Guide allow you download a
license file and an installation document. You will need them when you install the software.
If one of the distribution options is Download, you will see a Download button that you may use
to immediately download the software.
- Now click Finish at the bottom of the screen.
- You will soon receive an email confirming your transaction. It will include installation/licensing
information and any necessary license files or installation guides will be attached.
- Once your software has been burned, or is available for loan, you will receive another email with the pickup instructions.
2. To obtain information about software you have previously requested:
- Go to the My Cal Poly Portal at http://my.calpoly.edu; logon and then click on Single Click Access to Service Request.
- Move your mouse over My Items, then drag down and click on My Software Requests.
If you have Technician Staff access rights,
please move your mouse over Software Requests, then drag down and click on View Software Requests .
- The screen will now show all the software requests that you have submitted. If the request was
submitted on 12/31/2007 or earlier, the creation date will show as 1/1/2008.
- Once you see the software title in question, click
the
Preview icon under the View column.
A pop-up window will show all the descriptive and licensing information available for that software title. You may Print the
information if you wish and then Close the window.
