How to Request and Obtain Cal Poly Site-Licensed Software

Please follow these steps:

1. Log into the Cal Portal at http://my.calpoly.edu

2. Click on the Technology tab.

3. Go to the Software Download channel.

If you do not see the Software Download channel on your screen, you will need to subscribe to it. Please see the instructions "A. Subscribing to the Software Download channel" below and then restart this process from step (2) above.

4. Click where it shows Click here to gain authorized access to the ITS Site Licensed Software Services website

5. This takes you to the Site-Licensed Software location.

6. Use one of the search methods (Conditional Search, Browse by Publisher or Keyword Search) to find the software title and version you need for your specific computer environment. Choose Operating System = ALL to find the widest range of software titles.

One or more software titles will now be displayed, matching your search criteria. Click on the one you want.

7. Check the licensing information shown for the software title, to ensure you are eligible based on your role at Cal Poly and whether the software will be used on or off-campus. Then click on the Request button near the bottom of the screen.

8. This creates a request to Computer Operations in Building 14 to burn the necessary distribution CDs or DVDs for that software title. They will contact you when the items are ready for you to pick up. Please pickup the software in person within 10 days, or it will be returned to inventory.

Important

To install and run the software, you will need:

  • KeyAccess software must first be installed on your desktop or laptop computer, except for servers. This software is the client component of KeyServer, which manages Cal Poly licensed software.

    If you do not have it already installed, or are unsure, please download and install the current version, following the instructions "B. Obtaining and Installing KeyAccess software" below.

  • License codes or serial numbers to successfully install the new software application:

    After you have picked up the items from Computer Operations, follow steps 1-5 above again to access the Site-Licensed Software location.

    Now click on Your software Info - you will see the license codes or key information necessary to install the software you just obtained.

A. Subscribing to the Software Download Channel

If you need to subscribe to the Cal Poly Software Download Channel, follow these steps:

1. Visit the Cal Poly Portal and log in; if you need assistance, contact the ITS Service Desk at 756-7000.

2. Click on the Preferences icon in the upper right-hand corner

3. Click on the Technology tab

4. Click on the New Channel" icon

5. From the drop-down menu, select Software Download then click on the Add icon

6. After returning to the User Preferences layout screen, the Software Download channel should be visible.

7. Click on the Go Back icon in the upper-left to return to the main Cal Poly portal.

B. Obtaining and Installing KeyAccess software

To obtain and install KeyAccess software for Mac or PC:

1. Go to http://keyserver.calpoly.edu

2. Click on KeyAccess for Mac or KeyAccess for PC, depending on your type of computer.

3. Read the Overview

4. Click on Installation Instructions - print the instructions.

5. Click on Download - this takes you through the steps of downloading the software to your computer.

6. Now use the installation instructions you just printed to install the software. If you already have an older version of KeyAccess, it will be replaced by the new one.

7. Reboot your computer.

8. KeyAccess will now start automatically whenever you turn on your computer.
